Below is guidance and suggestions to help you manage your session smoothly.
Preparation Before the Session
- Check the room and equipment: Before the session begins, familiarize yourself with the meeting room (e.g., lighting, projector) and computer equipment. Be ready to assist presenters with the use of the remote control and pointer.
- Verify presentation files: Ensure that all presentation materials for the session are loaded on the computer.
- Meet with presenters: Presenters are instructed to meet the session chair before the session (during breaks or earlier). Take this opportunity to confirm the correct pronunciation of their names and have a brief introduction prepared. Inform them that presentation time is 15 minutes, followed by 5 minutes for Q&A.
During the Session
- Start on time: Introduce yourself and inform attendees which session they are attending (this helps participants who may have entered the wrong session).
- Mobile phone reminder: Ask all attendees to turn off their phones or switch them to silent mode.
- Introduce each presenter:
- Student presenters (marked with 🎓 in the program) – Encourage the audience to vote for the Best Student Presentation via the conference app.
- Presenters have submitted a brief self-introduction about a week before the conference. This is for reference only; you do not need to read it verbatim. You may also introduce the presenter naturally if you know them or if they seem nervous.
Time Management
- Each presentation is scheduled for 20 minutes. Please strictly enforce the timing so attendees can move between sessions as they wish.
- If a presentation exceeds 20 minutes, politely stop the presenter, thank them, and move on to the next presentation (skip Q&A in this case).
- If a presentation finishes early, encourage questions from the audience. The chair may ask the first question if necessary.
- If no questions remain or a presenter is absent, do not start the next presentation before its scheduled time.
Additional Guidance
- The conference proceedings will be published online with limited space and readership. If a presentation is especially noteworthy, encourage the presenter to expand their work and submit it to the official IMWA journal, Mine Water and the Environment. You may also notify the journal editor, who may contact the presenter after the conference.
Final Note
- Enjoy your session and focus on the presentations.
- Please avoid appearing inattentive or distracted during the session, as this can negatively affect the audience’s impression.
